How to amend minimum and maximum advanced booking time.

Learn how to change your minimum and maximum advanced booking times on your facilities which will change how far in advance your customers can make bookings.

Step-by-step guide

  1. Log in to your Bookteq workspace.
  2. Click "Venue Settings".
  3. Click "Spaces and Facilities".
  4. Select the facility where you would like to change the booking time.
  5. Scroll down to "Booking Settings".
  6. Edit the minimum and maximum advanced booking times: select the amount of time that you allow bookings to be placed in advance of the booking date. For example, you may allow bookings to be placed up to two weeks before the booking date, but no less than two days in advance. 
  7. Scroll down and save changes.

Troubleshooting

Q: How do Booking windows and approval times interact?

We have two properties which determine when slots get generated. The first is the Minimum Advance Time on the Facility. This is the shortest time between when a slot occurs and the current time. Therefore, if you have a 3 hour Min advance time, at 14:00 you’ll be able to book from 17:00 and from 18:00 you’ll be able to book from 21:00 etc. The other property is the Minimum Approval Time. This determines the minimum amount of time your venue wants to give to approve a booking. 

If a booking is not approved by the start time of a booking it is cancelled. So if you have a 3 hour Min advance time but a 24 hour min approval time you will only be able to book 24 hours or more in advance.


There is a slight caveat, which is the Concurrency Check ability. When this is ticked in the approval settings, if there is another Facility with approvals enabled, which has a booking during the same time, approvals are not necessary, so we take the minimum booking window in that case. In our above example, if it’s 14:00 but there are bookings in from 12:00 to 17:00 and 18:00 to 21:00 then you’ll be able to book from 18:00 to 21:00 but not at 17:00 because the min approval time would count in that case.

 

Q: Does this affect the booking slots?
A:  Yes, these will affect the booking slots available for your customers to book. For instance, if you have the minimum advanced booking time set to 48 hours, your customers will not be able to book empty slots on today's date.
