How to set up Customer Self-Service Amendments

Our Self-Service Amendments feature allows your customers to quickly and easily make changes to their bookings. This article walks you through how the settings in your Bookteq workspace work to enable this feature for your customers.

Below is a tutorial video explaining how the settings work for our self service customer amendments:

 

✅ How to Enable Your Amendments Policy

  1. Navigate to Venue Settings

  2. Go to Spaces & Facilities

  3. Select the Space

  4. Select the Facility

  5. Cancellation & Amendment Policy

Use the tick box here to enable the Self-Service Amendments feature. Based on your cancellation and amendment policy, enabling this will allow your customers to amend their bookings via the Bookteq customer portal - as long as the request is made before your set policy timeframe.

⚠️ Note: You will need to enable this setting individually for each facility.

 

⚙️ Approval Settings

  1. Navigate to Venue Settings

  2. Go to Approvals

If you'd like to review and approve amendments before they go through, you can enable the ‘Amendments’ tick box and select which facilities require approval.

You can also set an ‘Approval Expiry Period’, which defines how long your venue has to approve or reject an amendment request.

📌 This setting will apply to both single and repeat bookings—if the Amendments option is enabled.



 ✅❌ How to Approve or Reject an Amendment

If the setting is enabled and an amendment request has been submitted, you'll see a notification (e.g., a "1" indicating a pending request).

  1. Go to the Approvals tab.
    This is where all amendment requests will appear.

2. To Approve the Amendment:

  • Select the ✅ icon.

  • If your venue uses the Additional Questions feature, you’ll be able to view the customer’s response at this stage.

  • Click Approve to confirm the amendment.

3. To Reject the Amendment:

  • Select the ❌ icon.

  • You’ll be prompted to provide a reason for the rejection.

  • Choose a pre-set reason or select Custom Response to enter your own message.

  • The customer will be automatically notified via email, including the reason you provided.
